Privacy Notice: Processing of Personal Data for Recruitment Purposes

Covariance processes your personal data and CV for the purpose of assessing your application for a specific position, in accordance with Regulation (EU) 2016/679 (GDPR) and applicable national data protection laws.

1. Scope and Purpose

The term "employee" includes individuals engaged under any form of employment or service contract, including applicants and former employees.

The personal data processed may include:

  • Identification and contact details (name, address, email, telephone number)
  • Educational background and professional experience
  • Qualifications and language skills
  • Information provided in your CV or cover letter
  • Data generated during the recruitment process (interview notes, assessments, internal reports)

Processing is necessary to implement pre-contractual measures prior to a potential employment contract (Article 6(1)(b) GDPR).

Access to your data is limited to authorised Covariance personnel responsible for HR and recruitment, all bound by confidentiality obligations.

With your explicit consent, Covariance may retain your data for up to 12 months after the recruitment process ends, to consider you for future opportunities. Consent may be withdrawn at any time by contacting info@covariance.gr, without affecting prior lawful processing.

Covariance ensures that personal data are processed lawfully, fairly, and transparently, only for recruitment-related purposes and in a proportionate manner.

In exceptional cases, Covariance may disclose your data to third parties such as law enforcement or judicial authorities, only when required by law or a binding decision.

2. Data Subject Rights

Under Articles 15–21 GDPR, and subject to legal conditions, you have the following rights:

  • Right of Access (Art. 15) – to confirm whether your data are processed and obtain related information.
  • Right to Rectification (Art. 16) – to correct or update inaccurate or incomplete data
  • Right to Erasure (Art. 17) – to have your data deleted under specified conditions.
  • Right to Restriction (Art. 18) – to limit processing in certain cases.
  • Right to Data Portability (Art. 20) – to receive your data in a machine-readable format and transfer them to another controller.
  • Right to Object (Art. 21) – to oppose processing when applicable.

You are encouraged to ensure your personal data remain accurate and up to date.

3. Complaints and Contact

If you believe your data are being misused, you may file a complaint with the Hellenic Data Protection Authority (HDPA). For details, visit https://www.dpa.gr/.
